Firefly 2025 Ticket Registration and Important Policy Changes

Dear Fireflies,

The official start of the Firefly 2025 season has arrived! Starting on Monday, May 19th you will be able to register for a ticket at https://tickets.fireflyartscollective.org! Registration for the Ticket Lottery will be open until May 26th and Lottery results sent out on the 28th. If you register after the 26th you’ll be added to the waitlist in the order you signed up. More detailed information will be shared on the 19th.

Prior to opening ticket registration we would like to share changes that may affect participant privacy and ticketing eligibility for 2025. The property at 419 Christian Hill Rd, at which a portion of the event takes place, changed ownership unexpectedly on May 1, 2025. The new owners of the property required additional terms in our land use agreement; after negotiation, we agreed upon an addendum to the use agreement as described below.

The new terms involve sharing the list of all participant names and possible known criminal background with the landowner, and involvement of the landowner in certain participant ban or removal scenarios.

We welcome your feedback on these changes, will share aggregate responses, and take these opinions into consideration for future years, however these terms are in effect for the Firefly 2025 event for which ticketing will begin shortly.

Appendix B: Participant Access and Review Addendum 

On Landowner and Firefly expectations for the handling of participants who pose clear and immediate danger for the safety of other participants, the event or the Location:

  1. Landowner will defer to Firefly rules and procedures with respect to use of the land, attendance by Firefly participants, and conflict resolution during the Use Period.
  2. Firefly will provide a mutually agreed representative of Landowner with access to an electronic list of ticketed and waitlisted participants’ preferred and legal names by no later than June 1 (six weeks before the event) upon agreeing to the same terms required of Firefly leadership (see Appendix C: Landowner MOU), including that participant information will not be shared with any third party. Landowner will make every effort to raise concerns about potential participants to Firefly for review by no later than June 15 (two weeks before the event).
  3. Firefly will review the eligibility of participants to attend against participation standards detailed in Firefly’s Code of Conduct. When information is made known to the Firefly Board about a ticketed or waitlisted potential participant’s recent criminal history of burglary, destruction of property, or physical violence including assault & battery or sexual assault, or status as a registered sex offender, the Firefly Board, if the start of the event is less than two weeks away or following a regular Board meeting which does not revoke the participant’s ticket, will notify Firefly Operations Cluster Leads of this information in a timely manner. Operations Cluster Leads, at their discretion on if this is warranted, will discuss such information with Landowner. If needed, further escalation is performed as described in Section D.  Information known only to the Conduct Committee will be private to the Conduct Committee and is explicitly exempt from this clause unless disclosed to the Board.
  4. In the event that a credible primary source reports a violation of the event’s Code of Conduct by a ticketed or waitlisted participant and the report involves recent (within the past three years) and recognizable pattern of burglary, assault or sexual assault and is made within two weeks or less before the event, Firefly Board, Landowner, and a third member of the Firefly organization acceptable to both parties (e.g. OOD, Operations Cluster Lead, etc.) will discuss whether the participant represents a clear and imminent physical danger to others or to the event and together come to a decision about whether to warn or temporarily ban the participant. Follow up or full investigation will be done through the established Firefly review process after the event. Participants who are banned have the right to appeal if a decision to ban is made.
  5. When an incident is reported by a credible primary source in which a participant’s behavior violates the event Code of Conduct during the event, if Firefly does not choose to remove the participant, Firefly Board on Call, Officer of the Day, and Landowner will discuss whether the participant represents a clear and imminent danger to other participants or to the event and together come to a decision about whether to remove the participant. Firefly will conduct a follow up or investigation after the event and before a warning, temporary ban or indefinite ban is issued to any participant.
  6. The Landowner reserves all pre-existing legal rights to remove participants or other Firefly affiliates from the Location who pose an active and imminent risk to the safety and physical integrity of the Location.

 

Appendix C: Landowner Memorandum of Understanding

I, _______________________________________, understand that as a prospective, current or former Landowner of Firefly Arts Collective, Inc., I have a responsibility to help the organization fulfill its mission. I believe in the purpose and the mission of the organization, and I agree to act responsibly and prudently as its steward.

I agree:

  1. To serve as an ambassador for the organization’s work and values to the community, represent the organization in a positive manner, and act as a spokesperson only when such authority has been delegated to me by the Board,
  2. When acting as a Landowner, to behave in an ethical manner and comply with all applicable laws,
  3. To actively identify any conflicts of interest between my other endeavors and the organization, including but not limited to financial conflicts of interest, and make the Board aware of those conflicts of interest,
  4. Familiarize myself with the Firefly bylaws and other rules & procedures posted to the Firefly website,
  5. I may become aware of sensitive information over the course of my duties, and I will use good judgment in understanding what information is sensitive and what information I should keep confidential to myself and Firefly. I agree to adhere to this even after ceasing to be a Landowner, and I also understand that this will apply to any sensitive information I receive in my capacity as a prospective or former Landowner.
